Operations & Office Manager (Cayman Islands, Full Time)
Job Description
Location: Grand Cayman, Cayman Islands (Cayman Enterprise City)
GunBay Global Advisory is a technology- and AI-enabled consulting firm headquartered in Grand Cayman within the Cayman Enterprise City (CEC) special economic zone. Our clients are operating companies and funds that need sharper operations, sound corporate structure, and modern infrastructure to scale. We are growing rapidly: today we advise businesses of roughly $32M in scale, and we are moving quickly toward engagements with clients of $150M and beyond. Our work sits at the intersection of operational design, cross-border corporate structuring, and AI-driven automation.
Our Core Ethos:
We hold uncompromising convictions regarding individual liberty, economic sovereignty, private property rights, and direct asset ownership. We help our clients build operational and corporate architectures designed to withstand regulatory overreach, systemic fragility, and arbitrary institutional friction.
We operate with an anti-socialist, anti-bureaucratic mentality. We view compliance not as a theater of paper-pushing or a source of operational inertia, but as a precise, ruthless engineering discipline. We demand full regulatory rigor while eliminating red tape, modernizing legacy offshore practices, and maintaining complete operational speed.
Job Description
As our Operations & Office Manager (Head of Administration), you will serve as the central nervous system of GunBay Global Advisory. This is a critical dual-function leadership role responsible for maintaining the smooth execution of daily administrative workflows while standardizing our operational architecture for rapid scale.
You will act as the operational shield for executive leadership—working directly alongside the Managing Directors and the Financial Controller to absorb friction, streamline processes, and defuse complexity before it reaches the C-suite. You are the executive anchor who ensures our firm runs with precision, discretion, and total autonomy.
Key Responsibilities Across Five Operational Pillars
- Pillar 1: People Leadership & Team Coordination
- Lead, mentor, and elevate our junior administrative staff (aged 20–24), fostering a high-performance, high-ownership workplace culture.
- Design and facilitate crisp, actionable daily morning standups to align daily priorities, assign accountability, and clear operational bottlenecks.
- Institute rigorous operational standards ensuring all client communications, presentation decks, formal correspondence, and physical office environments reflect an uncompromising level of executive polish.
- Pillar 2: Friction-Free Client Onboarding & Due Diligence
- Oversee the end-to-end onboarding lifecycle for new client engagements, including operating companies, funds, family offices, and strategic partners.
- Execute rigorous AML, KYC, KYB, and Source of Wealth (SoW) verification protocols in strict alignment with Cayman Islands AML/CFT requirements.
- Eliminate administrative delays by deploying modern, AI-assisted tech stacks (including Sumsub, DocuSeal, and Yente) to collect and verify compliance documentation efficiently without exposing clients to unnecessary bureaucracy.
- Pillar 3: Corporate Secretarial & Entity Governance
- Maintain and execute the master corporate calendar for the firm’s group and joint-venture entities, and for client entities we support, across the Cayman Islands and British Virgin Islands (BVI).
- Draft board resolutions, manage director consents, execute statutory registry filings, and coordinate official corporate secretarial records with third-party registered agents.
- Ensure impeccable statutory compliance across regulatory filings, Economic Substance notifications, and annual entity renewals.
- Pillar 4: Banking & Professional Services Liaison
- Serve as the primary, high-trust operational contact for partner banks, corporate service providers (including Highvern), and the external professional firms we work alongside.
- Manage execution of dual-authorization wire transfers, payroll, and vendor disbursements in tandem with the Financial Controller.
- Handle bank compliance queries instantly, maintaining comprehensive and pre-vetted compliance packages to resolve account reviews without transactional delays.
- Pillar 5: Data Sovereignty & Information Hygiene
- Enforce absolute data architecture standards across self-hosted and encrypted repositories (MinIO S3, EspoCRM), ensuring granular access controls and strict privacy protocols.
- Eradicate operational drag by eliminating redundant tracking sheets, maintaining single-source-of-truth master client, entity, and engagement registers.
- Maintain complete oversight of physical office security, inventory, vendor contracts, and executive facility management in Grand Cayman.
-
Freedom-Minded & Sovereignty-Aligned: You resonate deeply with principles of financial privacy, private property rights, and personal liberty. You understand why our firm operates the way it does.
-
The Calming Operational Anchor: Unshakable under pressure. When multi-jurisdictional complexities or urgent executive demands arise, you maintain steady composure and clear execution.
-
Proactive Problem Solver: You do not present problems without two fully vetted solutions attached. You instinctively identify operational friction and fix it before being asked.
-
Natural Mentor & Communicator: You possess the emotional intelligence required to guide junior team members while maintaining the authoritative executive presence required to work with client executives, business owners, and global banking partners.
Qualifications & Requirements
-
Experience: 3–5 years of increasingly responsible operational, administrative, or corporate secretarial experience within consulting or professional services firms, corporate services providers, law firms, or fast-growing operating companies.
-
Jurisdictional Expertise: Demonstrated hands-on knowledge of Cayman Islands (and BVI) corporate governance structures, CIMA AML/CFT regulations, and FATCA/CRS reporting frameworks.
-
Technical Aptitude: High proficiency with modern cloud infrastructure, encrypted data repositories, advanced CRM databases (e.g., EspoCRM, Salesforce), and e-signature platforms (e.g., DocuSeal, DocuSign). Comfort working alongside AI agents and workflow automation is essential.
-
Languages: Native-level fluency in English (written and spoken) is mandatory. Professional proficiency in Spanish is considered a strong advantage.
-
Residency: Currently resident in Grand Cayman with existing right to work (Caymanian, PR, RERC), or meeting all eligibility requirements for immediate onboarding under a Cayman Enterprise City (CEC) Zone Employment Certificate.
Remuneration & Benefits
-
Base Salary: USD $75,000 – $85,000 per annum (CI $61,500 – CI $69,700).
- Bonus: Annual performance-based discretionary bonus linked to operational targets and firm growth.
- Benefits: Full statutory pension contributions and comprehensive private medical and dental insurance.
- Work Environment: State-of-the-art office facilities within Cayman Enterprise City, high-autonomy culture, and clear career progression pathways as the firm and its client base grow.
